For EPC projects, quality documents are part of the deliverable. They support owner review, project handover, traceability, and later maintenance records. If the document list is not included in the RFQ, suppliers may quote different levels of documentation.

1. Material documents

  • Mill test certificates for plates, sections, and other steel materials.
  • Material receiving records.
  • Heat number or batch traceability records.
  • Bolt, nut, washer, and consumable certificates if included in scope.

2. Fabrication inspection records

Fabrication records should show that dimensions, holes, weld preparation, fit-up, and final assembly were checked. Ask whether inspection records are prepared by component number, drawing number, batch, or project area.

3. Welding documents

4. Coating and surface treatment records

For export projects, coating quality affects both transport protection and service life. Request blasting grade records, paint brand and batch information, dry film thickness reports, environmental condition records, and repair records for damaged areas.

5. Packing and delivery records

The quality package should connect fabrication records to delivery records. Ask for packing lists, component marking lists, bundle photos, container loading photos, and a shipping document index.

6. Document control checklist

  • Does every document show project name or purchase order number?
  • Are component numbers consistent with drawings and packing lists?
  • Are inspection dates and signatures included?
  • Are certificates readable and complete?
  • Are revised documents clearly marked?

Buyer note

Include the required document list in the RFQ and ask suppliers to price any extra third-party inspection or special report format separately. This prevents document disputes at shipment time.
